Admin / Office Manager ??? Maple Leaf Management & Consulting We are a small but fast growing property management firm with our headquarters in Salt Lake City. We also provide maintenance, repair and remodeling services, as well as landscaping and lawn aeration for clients. We have been in business since 2008, and have great reviews from our clients. ==== The position ==== We are in immediate need of a new high energy Office Manager to work in our fast-paced environment. This is a great position for someone who is task-oriented and enjoys organization and administrative work as well as client relations and customer service. As you will see below, this is a great opportunity to work on multiple aspects of our business ??? you will never have two days the same. This is a part-time (20 hrs/wk) position available immediately with the opportunity to grow to 30-40 hrs. The work is to be performed from our Salt Lake office Monday through Friday 4 hrs per day - we can be flexible on these office hours. Your responsibilities will include: * Reception Answer all incoming calls and emails and route to the appropriate person, while understanding client and owner needs and make brief notes about the call in our database. Schedule our maintenance workers, make appointments, remind clients and our workers of unfinished tasks. You will be responsible to solve most owner and tenant concerns, with the support of the rest of the team. * Bid preparation & delivery, Work with our maintenance manager to prepare bids for work and send to client for approval. * Work Orders and Project Monitoring Ensure that Work Orders are entered into our system accurately and that our workers are staying on task with tenant and client maintenance requests. Monitor the backlog to ensure that tasks are promptly handled and not forgotten. * Vacant Property Ads Ensure that our database is up to date with property info and photos, and post properties for rent as they come vacant or notice is given. * Applicant Screening Assist our leasing agent with processing applications and screening tenants, checking references etc. * Leasing Documentation Preparation You will assist our leasing agent with back office paperwork, and make sure everything is filed and entered into our database If the candidate excels in this work, the following additional job tasks may be added, resulting in a higher salary and more hours. * Advertising & Marketing From time to time you may be asked to assist with marketing the company's services and preparing advertising or marketing material.
Relocation costs may be covered.
==== Candidate's Requirements ==== * You will be the first voice that our current and potential owners and tenants hear when they call, giving their first impression of the company and setting the tone for the rest of the call. The ideal candidate must have a very upbeat, friendly and professional voice, a contagious positive mood, and make each caller feel like they are our most important client! * This person should enjoy being the "go-to" person for our team, be up for learning the ropes of the management industry and be excited to assist across multiple departments. * Ability to easily defuse any issue that may arise with clients or vendors in a calm, professional and effective manner * Well spoken, out-going personality * Excellent verbal and written communication skills * Previous experience as an office manager / administrative assistant a huge plus * Previous customer service experience is mandatory * Previous real estate or construction industry experience a plus * College or University level education a plus * Self-motivated, fast learner, team player, able to work alone with minor supervision * Understanding of basic computer and internet technology * Knowledge of Microsoft Word, Excel and basic database skills
