Reports To: General Manager Essential Functions/Tasks: Primary responsibilities as directed or delegated by GM of Thanksgiving Park: 1. Schedule and facilitate timely communication and completion of tenant work orders. 2. Assist in the set-up of new tenants, move-in, move-out lists. If delegated, help to abstract new leases. 3. Delegated responsibilities to follow up on specific tenant needs and assist in on-going projects to improve tenant relations, public safety, property image, etc. 4. Providing new tenant manuals regarding life safety/building operations. 5. Help develop and monitor property operating and capital budgets. As assigned, review monthly operating statements - look for variances and forward adjustments to accounting. 6. Assist in coordinating outside consulting services i.e. vendors, architects, engineers, contractors, legal counsel, on related issues. 7. Help write specifications for property services i.e. janitorial, security contracts. 8. Perform routine site inspections for maintenance needs, safety hazards, tenant abuse of common areas, landscape needs, curb appeal, signage, etc. 10. Assist in contracting with vendors regarding property operations i.e. landscapers, janitors. Follow appropriate bid process. Review information and analyze. Determine best bid and execute correspondence. 11. Overall office management and organizational activities including data entry of AP, filing, scanning, copying, and backing up files. 12. Assist in setting up a social media campaign and other creative marketing strategies. 13. Gatekeeper of the keys for each building.

Education: Minimum Associates Degree Experience: - Two-four years experience as an executive assistant, administrative assistant or secretary - One year of supervisory experience, involving teams of employees & vendors Operating Skills: - Basic knowledge of building management, administration and accounting - Computer literate on spreadsheets, word processing, and property management systems - Basic math and analytical skills - General clerical and administrative skills Management Skills: - Effective verbal and written communication skills. - Basic organizational skills and ability to remain composed and flexible. - Trustworthy and dependable. - Self-motivated, creative and resourceful. - Professional presence and appearance. License/Certification Required: - Valid driver's license - Notary
