Grace Global is a small, successful technology firm providing hardware (PCs & servers) and managed IT services to various private and public clients both locally and nationally. Grace Global is located on south Main Street in Salt Lake City. The administrative assistant is a key member of the Grace Global team. The candidate must be a highly organized and proactive professional able to support the CEO and technical lead as well as effectively and demonstrably balance and leverage their significant creative and analytical skills towards meeting business objectives. Hours: Monday ??? Friday, 8:00am ??? 5:00pm. There may be a need, albeit rarely, to work on Saturday or travel, as need dictates. Responsibilities include (but are not limited to): ??? Basic clerical duties including filing (paper and electronic), mailing, data entry, and phone support. ??? Prepare documents and manage outgoing and incoming mail and packages. ??? Accountable for outstanding customer service to all external and internal customers. ??? Identify situations that require immediate escalation and exercise precise judgment on when to contact the appropriate individual. ??? Create and distribute documents including emails, reports, agendas, presentations, invoices etc. ??? Schedule and coordinate meetings, appointments, and events for internal personnel. ??? Website content management and the creation and distribution of marketing materials. ??? Assist with presentation research and preparation. ??? Light accounting work as required.
Relocation costs may be covered.
Minimum Requirements: ??? 1-3 years of clerical and administrative experience and 1-3 years of basic office management, working as a team player with ability to work with many different personalities successfully. ??? Proficient in MS Office and calendaring (specifically, Outlook, Word, PowerPoint, and Excel). ??? Excellent work ethic, exemplary verbal and written communication skills, and the ability to represent Grace Global professionally. ??? Must be self-motivated and not require daily supervision, able to multi-task and prioritize effectively. Must be able to work independently while making decisions using sound judgment. ??? Must be a creative problem-solver who has the ability to stay calm under pressure, juggle large workloads, and effectively prioritize. ??? Experience with QuickBooks. Preferred: ??? Computer hardware and software literacy. ??? Adobe products experience (Photoshop, InDesign). ??? Experience handling business-critical projects. ??? Accounts payable/receivable experience. ??? Website content management experience. ??? Knowledge of CRM software. ??? Knowledge of RFPs, contracts. ??? Social media experience (Facebook, Linked In). ??? Graphic design experience. ??? Bachelor degree.
