SUMMARY The Administrative Assistant (AA) is under the direction of the Executive Vice President and the Event Director. The AA provides clerical, administrative, and substantive support with a focus on office management, event marketing, and membership. PRIMARY RESPONSIBILITIES 1. Is the friendly and confident voice of the UMCA/WICA; ??? Cheerfully and professionally answer all incoming calls, ??? Screen and route calls appropriately, and become familiar with the phone system, ??? Maintain a professional appearance and attitude, and ??? Assist with the maintenance and recruitment of members. 2. Greets office visitors with a smile and friendly confidence; ??? Distribute incoming mail and special deliveries, ??? Deliver incoming faxes, ??? Organization and maintenance of files and documents, and ??? Keep common areas clean, ??? Mail out Board of Directors and other important members birthday cards each month. 3. Administrative; ??? Perform administrative functions including, but not limited to, initiating and preparing memos and other correspondence, making photocopies, sending faxes, preparing mailings, and other activities as requested, ??? Operate standard office machines (copy, fax, and postage machines), ??? Assist with the publication and editing of the monthly electronic newsletters, ??? Take inventory and make sure supplies are stocked. 4. Project Management; ??? Work with Event Director to maintain the UMCA and WICA websites and on other web-based projects, ??? Marketing programs to members via email and phone calls ??? Assist with Accounts Receivable collection in relation to Association Events ??? Assist with preparation of all workshop and conference brochures and programs, ??? Assist with the development and delivery of UMCA/WICA publications, ??? Mail out thank you letters to event sponsors. 5. Database Management; ??? Update the UMCA/WICA databases and the directory section of the UMCA/WICA websites ??? Responsible for keeping all database/directory information current and usable 6. Perform other duties needed or assigned by the Executive Vice President or the Event Director.

KNOWLEDGE AND SKILL REQUIREMENTS 1. Excellent computer skills with MS Word, Excel, Outlook, and other computer programs; 2. Ability to effectively work and handle numerous tasks, matters, issues, and assignments; 3. Ability to produce professional documents with minimal amount of errors; includes spelling, punctuation and grammatical errors; and 4. Discipline to successfully work without close supervision.
