Job Description
Job Description: The Secretary to Transportation Services provides administrative support to the Director, assists staff and the public; performs clerical functions and ensures compliance with all financial, legal and administrative requirements. Example tasks include:
Compiles data from a variety of sources (e.g., payroll, attendance, financial information, etc.) to comply with financial, legal and/or administrative requirements.
• Creates and maintains a variety of manual and electronic documents, files and records (e.g., rental spreadsheets, administrative records, letters, memos, etc.);
• Monitors a variety of activities on behalf of Manager (e.g., field trips, account balances, etc.).
• Performs clerical functions (answering telephones, filing, copying, preparing mail, etc.).
• Prepares and processes a wide variety of reports, documents and written materials (e.g., correspondence, minutes, reimbursements, purchase orders, payroll, minutes, financial reports, etc.);
• Schedules a variety of activities (e.g., appointments, meetings, etc.).

Requirements
Minimum Qualifications: High School Diploma or equivalent. Minimum two years as an administrative assistant or a secretary. Basic computer ability in MS Word and Excel (applicants will be tested). Highly self-motivated and dependable. Good interpersonal, written and oral communication skills. Ability to prioritize, show attention to detail and accuracy, and multitask in an office setting. Ability to work with minimal supervision. Ability to meet deadlines and schedules. Ability to maintain strict confidentiality.
Preferred Qualifications: Prior experience entering payroll. Experience with Kronos Workforce Timekeeper.
