Job Description
Long Okura, P.C. is a Utah Family Law Firm. We have been in business for 8 years. Rebecca Long Okura is the managing attorney; she has been in litigation practice for almost 13 years, with approximately 11 years in family law. At all times, our firm has had 2 to 3 other associate attorneys aside from Ms. Long Okura. We focus on divorce, paternity, grandparent's rights, and any and all family law issues. We also do probate and small business work. Ms. Long Okura acts as a small business and family law mediator.
The firm is very unique in Utah. We operate almost entirely through web-browser based applications. We try to maintain a cutting edge on technology, marketing, and in-house processes. We are incredibly systems-oriented. All things have a process to be followed and all processes arise from specific goals and standards that we have- we want to excel in our performance, have happy clients, and have happy employees. We have found that organization and systematic problem-solving improves all of these things and also increases revenue. We like to think that we run our firm like a "real" business as opposed to "old school" law firms.
The applicant must be detail-oriented and organized. Take a look at your kitchen and bedroom at home- if there are usually crumbs on the counter and laundry is stacked in the corner, you will not be happy at our firm.
While we appreciate creative thinking, we also are not looking to recreate the wheel. We have created and maintain excellent systems to ensure that things are done orderly and efficiently. The applicant must be able to adapt to the structure already in place and thrive in such an environment. The applicant should be able to self-generate work without constant oversight. This is possible if the applicant is organized and conducts himself or herself according to all of the tasks and processes that are assigned to the Receptionist and Potential Client Guide.
The applicant will open the office in the morning, prepare the office for the day and for any events that are happening that day such as mediations, meetings, depositions, or regular day-to-day business. The applicant will be responsible for making sure that the office always is clean, tidy, and in perfect performance and order.
The applicant will answer phones for the main line and will properly make phone notes in our database, keep track of the calls from potential clients, set up consultations between potential clients and attorneys, and do any and all necessary guidance for the potential clients, and already existing clients, to make sure that the client experience is smooth, comfortable, comforting, and more like that expected in a spa than in a law firm. We want our clients to have an unexpectedly excellent interaction and experience with our firm and the receptionist position is KEY in this.

The applicant must be able to handle busy phones and follow processes related to those calls without error or failure to follow procedure. Every call has cost the firm much in marketing dollars and every effort should be made to make sure that potential clients become clients, and that we retain the clients that we have by giving them superior service.
The Receptionist also collects data about the calls being received and what happens with clients and potential clients. Monthly reports will need to be created and provided to the Managing Attorney; there are systems in place to assist the applicant in doing this. This position also requires the ability to type and do data entry accurately and quickly.
We insist upon the use of proper grammar and an absolutely professional demeanor. The applicant must be fluent in written and spoken English and some college education is preferred.
Jeans and casual clothing are not permitted for this position, even when otherwise permitted in the office, because the Receptionist is seen everyday by vendors, potential clients, and clients.
The applicant must be reliable and have a history of excellent work attendance. Preference will be given to an applicant who has had experience in providing customer service in high-end service providers such as expensive spas or salons, cosmetic procedure offices, or as concierges at high-end hotels.
The Receptionist and Potential Client Guide answers to the Office Manager and the Managing Attorney.
Compensation is commensurate with experience and attitude but is likely to be $10.00 to $14.00 per hour. Paid holidays. Personal Time Off is accrued at the rate of 4 hours per pay period and there are two pay periods per month. After 60 days of full-time employment, the applicant is eligible for health insurance coverage. The firm pays 1/2 of the single person premium for IHC Select Value but plans are available for greater coverage at the employees cost.
